What Should a Receipt Include? Legal & Tax Requirements Explained

Not every scrap of paper is a valid receipt. Here is exactly what to include so a receipt holds up for taxes, refunds, expense claims, and disputes.

Receipt Generator

Our generator includes every required field — check the list, then create one.

Open

A receipt is more than a piece of paper — it is the closing entry in a transaction. Done well, it serves as proof of purchase, evidence in disputes, and a record for tax filings. Done badly, it gets your expense claim rejected or your tax deduction questioned. Here is exactly what a receipt should include.

The non-negotiable fields

These appear on virtually every valid receipt, regardless of jurisdiction:

  • Date of payment — when the money actually changed hands.
  • Seller identity — business name, address, and contact details. For sole traders, the legal name plus trading name if different.
  • Buyer identity — for B2B transactions, the buyer name and address. For consumer sales below the local cash threshold, "Walk-in Customer" usually suffices.
  • Receipt number — sequential, unique, traceable.
  • Itemised description of the goods or services.
  • Subtotal, tax, total — broken out separately so the tax can be reclaimed where applicable.
  • Payment method — Cash, Card, Bank Transfer, UPI, etc.
  • Status — Paid, Pending, or Refunded.

The free Receipt Generator includes every one of these fields by default. You do not need to remember them — they are part of the form.

Tax-specific requirements

Tax registration number

Many countries require sellers above a turnover threshold to display a tax registration number (VAT in the EU, GSTIN in India, EIN in the US for certain businesses). Add this to the notes field on the receipt or to the address line.

Tax-inclusive vs tax-exclusive pricing

If your prices include tax, set the tax rate in the generator to 0 and add a note like "All prices include 18% GST". If you charge tax separately, set the rate and the tool will calculate the line for you, with subtotal, tax, and total appearing on separate lines.

Itemisation

A single line saying "Goods" or "Services" is rarely enough. Tax authorities expect at least the item type and quantity. Keep descriptions short but specific: "Web design — landing page" rather than "Services".

Industry-specific extras

  • Hospitality: server name, table number, service charge line.
  • Healthcare: practitioner name, registration number, service date if different from payment date.
  • Property and rent: rented property address, payment period, landlord PAN/SSN if required.
  • Regulated goods (alcohol, fuel): licence number on the receipt.

What a refund receipt should add

Refund receipts share most fields with a sale receipt, plus:

  • The original receipt number being refunded
  • The reason for refund (a short note is enough)
  • A negative total or an explicit "Refunded" status — the generator's status pill turns rose-pink for refunds, which makes the document instantly recognisable

Digital receipts: what to watch for

A digital receipt is a PDF that anyone can open without special software. Avoid editable file formats (Word, Excel) for the final receipt — they look unprofessional and invite tampering claims. The Receipt Generator outputs a flat PDF that cannot be edited without a clear trail.

Storage and retention

Save receipts with a consistent naming convention: 2026-04-RCP-001-customer.pdf. To bundle a month's receipts for accounting, use Merge PDF. Compress the bundle with Compress PDF before emailing to your accountant. Most tax authorities accept compressed PDFs as long as the content is legible.

Pairing with invoices

Receipts and invoices form a pair. The invoice creates the obligation; the receipt closes it. For B2B work, generate the invoice first with the Invoice Generator, then issue the receipt when payment lands. The receipt tool can be prefilled directly from the invoice tool, so you do not retype anything.

Frequently asked questions

What is the minimum information required on a receipt?

Date of payment, the seller's identity, what was paid for, the amount paid, and the payment method. Anything below that is unlikely to be accepted as proof of purchase.

Is a credit-card slip the same as a receipt?

No. A credit-card slip confirms the card transaction; it usually lacks line items and tax breakdowns. For tax and bookkeeping, you need a proper itemised receipt.

How long should I keep receipts?

Common rule: at least seven years for business receipts, three to five years for personal expense receipts. Check your local tax authority — for example, the IRS in the US generally requires three years.

Can a digital receipt replace a paper one?

Yes, in nearly every modern jurisdiction. Tax authorities accept clear, unaltered PDFs with all the required fields. The Receipt Generator produces compliant PDFs out of the box.
