A receipt is more than a piece of paper — it is the closing entry in a transaction. Done well, it serves as proof of purchase, evidence in disputes, and a record for tax filings. The non-negotiable fields
These appear on virtually every valid receipt, regardless of jurisdiction:
- Date of payment — when the money actually changed hands.
- Seller identity — business name, address, and contact details. For sole traders, the legal name plus trading name if different.
- Buyer identity — for B2B transactions, the buyer name and address. For consumer sales below the local cash threshold, "Walk-in Customer" usually suffices.
- Receipt number — sequential, unique, traceable.
- Itemised description of the goods or services.
- Subtotal, tax, total — broken out separately so the tax can be reclaimed where applicable.
- Payment method — Cash, Card, Bank Transfer, UPI, etc.
- Status — Paid, Pending, or Refunded.

Tax-specific requirements
Tax registration number
Many countries require sellers above a turnover threshold to display a tax registration number (VAT in the EU, GSTIN in India, EIN in the US for certain businesses). Add this to the notes field on the receipt or to the address line.
Tax-inclusive vs tax-exclusive pricing
If your prices include tax, set the tax rate in the generator to 0 and add a note like "All prices include 18% GST". If you charge tax separately, set the rate and the tool will calculate the line for you, with subtotal, tax, and total appearing on separate lines.
Itemisation
A single line saying "Goods" or "Services" is rarely enough. Tax authorities expect at least the item type and quantity. Keep descriptions short but specific: "Web design — landing page" rather than "Services".
Industry-specific extras
- Hospitality: server name, table number, service charge line.
- Healthcare: practitioner name, registration number, service date if different from payment date.
- Property and rent: rented property address, payment period, landlord PAN/SSN if required.
- Regulated goods (alcohol, fuel): licence number on the receipt.
What a refund receipt should add
Refund receipts share most fields with a sale receipt, plus:
- The original receipt number being refunded
- The reason for refund (a short note is enough)
- A negative total or an explicit "Refunded" status — the generator's status pill turns rose-pink for refunds, which makes the document instantly recognisable
Digital receipts: what to watch for
