Restaurant and POS receipts look simple but follow surprisingly strict conventions. Get the format right and your customers can scan the strip in two seconds; get it wrong and they end up squinting at misaligned columns or missing tax lines. This guide covers the standard format and how to produce one with the free Receipt Generator.

The classic POS receipt anatomy

From top to bottom:

  1. Logo or business name — centred, bold
  2. Address and phone — small, centred
  3. Receipt number and date — left and right on one line
  4. Table or server name (optional)
  5. Item lines — description on its own line, quantity × unit price and total on the next
  6. Subtotal, tax, total — right-aligned
  7. Payment method and status
  8. Thank-you note — centred

Why the layout looks the way it does

Thermal paper is narrow (80mm), so every design choice is about vertical compression. Description on its own line means long item names do not get cut off. Monospaced fonts keep the price column aligned even when the descriptions vary in width. Dashed dividers replace boxes because thermal printers struggle with solid borders.

Producing a 80mm receipt with the generator

  1. Open the Receipt Generator.
  2. Select the POS template on the right panel.
  3. The preview switches to a narrow 80mm column. Fonts become monospaced; dividers become dashed lines.
  4. Fill in items, payment method (typically Cash or Card), and status (typically Paid).
  5. Click Download PDF. The PDF is sized for 80mm thermal paper and will print cleanly on a thermal printer or trimmed from A4.

Restaurant-specific tweaks

Server name

Add a line item like "Server: Maria" with quantity 0 and price 0 — the description prints, the totals are unchanged.

Table number

Add the table number to the receipt number prefix, for example T7-1042. Numbering by table makes end-of-night reconciliation easier.

Tipping

If you want a tip line, add an item called Tip with the tip amount as the price. The tool sums it into the total.

Combo items

Combos and bundles are best entered as a single line: "Burger Combo (Burger + Fries + Drink)", quantity 1, price = combo price. Detail still fits on one line because of the narrow column.

Pickup, delivery, and dine-in differences

  • Dine-in: table number, server, tip line.
  • Pickup: customer name, pickup time.
  • Delivery: delivery address, courier ID, delivery fee as a line item.

The notes field on the receipt is the right place for these context lines.

End-of-day reconciliation

At end of service, you typically have a stack of receipts. To bundle them into a single PDF for accounting, drop them into Merge PDF. To compress before emailing the bundle to your accountant, use Compress PDF. To split a multi-receipt PDF back into individual files, use Extract Pages.

When you need a full A5 receipt instead

Catering and event invoices typically need a full A5 receipt with a tax breakdown and a clear status pill. Switch to the Detailed template for those cases. Frequently asked questions

What paper width is a standard restaurant receipt?

Most thermal printers use 80mm wide paper rolls. A handful of older or budget printers use 58mm. Our POS template targets 80mm because it is the dominant standard.

Do I need a tipping line on the receipt?

Tip etiquette is region-specific. In the US, a clear tip and total-with-tip line is standard. In most of Europe, tip is included or rounded informally. The generator lets you add a tip as a custom line item if needed.

Can I print the POS template without a thermal printer?

Yes. The PDF is paper-agnostic — print the 80mm strip on a regular A4 sheet if needed and trim it. The fonts and spacing remain crisp.

What font should a thermal receipt use?

Monospaced. It keeps the columns aligned and reproduces well on low-resolution thermal printers. Our POS template uses a monospaced stack by default.
