A clean payment receipt PDF takes about a minute end-to-end if you use the right tool. This guide walks through every step in our free Receipt Generator, with notes on what each field is for and where small businesses commonly trip up.

Step 1 — Open the tool

Open the Receipt Generator. The page loads with a sample receipt prefilled so you can see the layout before typing anything. The interface is split into three columns on desktop: input on the left, live preview in the middle, customisation on the right.

Step 2 — Fill in your business details

Type your business name, address, and contact details into the "Your Business" section. Upload a logo if you have one — PNG with a transparent background works best. The logo and address render in the receipt header automatically. If you do not have a logo, leave it blank: the layout adapts.

Step 3 — Add the customer

For business clients, fill in the customer name and email. For walk-in cash sales, you can use a generic name like "Walk-in Customer" — most tax authorities do not require a named customer for cash receipts under a small threshold (check your local rules).

Step 4 — Add line items

Click Add item to add as many rows as needed. Each row has a description, quantity, and unit price. The total updates live as you type. You can remove a row with the trash icon.

Step 5 — Pick payment method and status

On the right panel, set the payment method (Cash, Card, Bank Transfer, UPI, PayPal, or Other) and the status (Paid, Pending, Refunded). The status renders as a coloured pill in the receipt header so the customer can see at a glance that the payment was received.

Step 6 — Pick a template

Six templates are available:

  • Standard — clean grey header, classic business look.
  • Modern — emerald accent, friendly and current.
  • Minimal — pure black-on-white, no colour.
  • Detailed — dark slate header, prominent tax line, ideal when the buyer needs the breakdown for bookkeeping.
  • Elegant — serif typography on warm cream paper, suits boutique services.
  • POS — narrow 80mm thermal-style for cash registers and food counters.

Step 7 — Optional tax

Open the "Options" section to set a tax rate. The tax line appears automatically when the rate is greater than zero. Leave it at 0 if your line items already include tax (common for small cash businesses).

Step 8 — Download

Click the green Download PDF button. The progress overlay shows three stages: preparing the layout, rendering the page, and finalizing the download. The file lands in your downloads folder named after the receipt number.

Going from receipt to invoice (or vice versa)

If the customer asks for a formal invoice as well, switch to the Invoice Generator. After downloading the invoice PDF, click the "Receipt Generator" tile in the related-tools panel — the receipt page opens with all the same business and customer details prefilled, so you can issue the matching receipt in seconds.

Sending and storing

Attach the PDF to email or messaging app. To compress before sending, run it through Compress PDF. To combine receipts at month-end, use Merge PDF. For long-term storage, save the file with a clear name like 2026-04-RCP-007-acme.pdf so you can search later.

Frequently asked questions

How long does the PDF take to generate?

Usually one to two seconds. The tool uses an inline progress overlay that shows the three render stages — preparing, rendering, finalizing — so you always know what is happening.

Can I edit the PDF after I download it?

You can re-open the receipt generator and tweak any field, then download a new PDF. To edit the downloaded PDF directly, use the Edit PDF tool.

How do I number my receipts?

Use a simple sequence such as RCP-001, RCP-002. For higher volumes, prefix the year — RCP-2026-001 — so the numbering resets cleanly each January.

Can I email the PDF directly from the tool?

No, the tool is download-only by design. After download, attach the file to your email client of choice. This keeps your customer addresses entirely on your machine.
