A cash receipt is the simplest, oldest form of payment confirmation: someone hands you cash, you hand them a slip of paper that says "received". Done well, it protects both parties — the buyer has proof of purchase, the seller has a paper trail for accounting and tax.

What every cash receipt needs

Date of payment
Your business name and contact details
Buyer name (or "Walk-in Customer" for retail)
Description of what was paid for
Subtotal, tax, total
Payment method: Cash (and ideally the amount tendered if change was given)
Status: Paid

Two formats: A5 paper vs 80mm thermal

Most small businesses use one of two formats:

A5 paper (210 × 148mm)

A clean half-page format suitable for printing, attaching to email, or filing. Use the Standard, Modern, or Detailed template in the generator.

80mm thermal (POS)

The narrow strip you see at coffee shops and food stalls. Monospaced font, dashed dividers, no colour. Use the POS template in the generator. The PDF prints cleanly on 80mm thermal paper rolls or on a regular printer if you prefer paper.

Cash receipt template fields, explained

Receipt number

Use a clear sequence: CR-001, CR-002 for cash receipts, or simply RCP-001 if you handle one ledger. Avoid reusing numbers across years — prefix with the year (CR-2026-001) for cleaner records.

Customer name

For named customers, type their full name. For retail walk-ins, "Walk-in Customer" is acceptable in most jurisdictions for receipts under the local cash threshold.

Tax line

If your prices include tax, leave the tax rate at 0 in the generator and add a small note like "All prices include VAT". If you charge tax separately, set the rate and the tool will calculate the line for you.

Notes

Use the notes field for a thank-you line, your refund policy, or business hours. Short notes look most professional.

Is a cash receipt legally valid?

Yes, in most jurisdictions a properly formatted cash receipt is valid for refunds, expense claims, and tax records. It must include the date, business name, items paid for, total amount, and an indication that payment was received in cash.

Do I need a signature on a cash receipt?

A signature is recommended but not always required. For high-value cash payments or rent, a signature provides extra evidence. For small day-to-day sales, a printed receipt is usually enough.

What is the maximum cash transaction I can record on a single receipt?

There is no global rule, but many countries limit cash transactions over a threshold (for example, certain tax codes flag cash payments above $10,000). Above the threshold, additional documentation may be required.

Can I print the cash receipt and hand it to the customer?
